Three words that drive the bill

  1. Document. One invoice, form, claim, or contract a person would otherwise read by hand.
  2. Minutes. How long that hand work takes today. Include reading, typing, and the fix when a field is wrong.
  3. Coverage. Out of 100 documents, how many the AI is allowed to touch. You type this. The page does not read your queue.

A worked example, before you touch a slider

2,000 documents a month. 12 minutes each by hand. $45 an hour. The AI handles 70% and a person still spends 2 minutes checking those. The other 30% stay fully manual. Software is $1,200 a month. Setup is $8,000 once.

How the model works

  1. Hours today = documents × minutes ÷ 60.
  2. Hours left = AI documents × review minutes ÷ 60, plus the rest at the full hand time.
  3. Hours saved = hours today − hours left. One full-time person is 160 of those hours.
  4. Labor avoided = hours saved × hourly cost.
  5. Monthly net = labor avoided − monthly software. Annual net is that times 12.
  6. Payback = one-time setup ÷ monthly net.
  7. Break-even coverage = the share of documents you must automate before labor avoided equals the software fee.

What does this calculator measure?

The hours a team spends reading, keying, or checking documents, and how many of those hours a document AI can take. You type the volume, the minutes per document, the pay rate, how many documents the AI handles, and what the software costs. The page turns that into dollars, a full-time equivalent, and a payback.

How does the math work?

Hours today equal documents times minutes, divided by 60. Documents the AI handles still need a short human review. Documents it does not handle stay at the full manual time. Hours saved times the hourly rate is labor avoided. Subtract the monthly software fee to get net savings. One full-time person is 160 hours a month. Payback is the one-time setup divided by monthly net.

Do I need an API key?

No API key is required. No OCR vendor key, and no OpenAI, Anthropic, or Google key. Results are directional heuristics with an AI agent experience: a badge, a short thinking step, and a stamp. The formulas run in your browser. Numbers stay on screen before any email ask. Email is only for the printable summary.

Is the AI agent calling a cloud model?

No. The AI agent on this page is the in-browser analysis experience. It uses rule-based heuristics. No document, prompt, or number is sent to a third-party model.

Are the savings guaranteed?

No. Results are directional heuristics. The share of documents the AI can handle is a number you type, not a measurement from your queue. A wrong extracted field can cost more than the minutes you saved. Validate with a pilot on your real documents.

When does document AI fail to save money?

When the share of documents automated is below the break-even line on the page, or when the human review takes as long as doing the document by hand. Expensive software and a small pile of documents do the same thing. The agent shows that line next to your coverage.
